The Billing Operations Specialist is responsible for executing AIM's day-to-day billing operations, ensuring all scheduled and event-driven billing activities are accurately calculated, validated, reconciled, processed across multiple custodians, and paid timely to third-party managers and strategic partners. This role partners closely with Operations, Product, Technology, Finance, and Client Service teams to strengthen operational controls, improve billing processes, and enhance the advisor and strategist experience through automation and technology.
Key Responsibilities
Execute all billing operations for AIM products and services, including scheduled billing cycles and event-driven billing requests such as new account implementations, terminations, service changes, fee schedule updates, prorations, credits, and other billing adjustments.
Champion the use of automation and artificial intelligence within the billing function by identifying process improvement opportunities, partnering on solution design and testing, and driving the adoption of technology that improves efficiency, accuracy, and operational controls.
Validate billing calculations, reconcile billing activity across custodians and internal systems, research discrepancies, resolve exceptions, and ensure the timely and accurate completion of all billing processes.
Calculate, reconcile, and process payments to third-party investment managers, strategists, and other program partners while maintaining appropriate supporting documentation and operational controls.
Maintain and enhance billing procedures, quality assurance processes, reconciliations, and documentation to support operational accuracy, compliance requirements, and audit readiness.
Partner with Client Service, Finance, Product, and Technology to resolve billing inquiries, define business requirements, test system enhancements, and improve billing workflows and automation.
Support new product launches, operational initiatives, and continuous process improvement efforts by identifying opportunities to increase efficiency, strengthen controls, reduce manual effort, and improve the advisor and strategist experience.
Qualifications
Bachelor's degree with a minimum of 2 years in investment operations, billing operations, portfolio accounting, financial operations, or a related financial services role.
Experience processing advisory fee billing, financial reconciliations, payment processing, or other high-volume operational workflows within the investment management industry.
Strong analytical and problem-solving skills with exceptional attention to detail and the ability to identify, investigate, and resolve operational discrepancies.
Advanced proficiency in Microsoft Excel and experience working with custodial platforms, portfolio accounting systems, investment management technology, or similar financial systems.
Excellent organizational, communication, and time management skills with the ability to manage multiple priorities and recurring operational deadlines in a fast-paced environment.
Demonstrated ability to collaborate across business and technology teams while supporting automation initiatives and leveraging technology and AI to improve operational efficiency, controls, and the client experience.
